Important Information

**If you are looking to book your hotel room and include March 17th in your search, you will get no availability as a result. This is because the Hyatt Regency Lexington is currently Sold Out on March 17th. If you need a room on the 17th as part of your stay, please email asn-registration@icsevents.com and we can inquire on your behalf. There is no guarantee but there is a possibility of cancellations which would free up inventory. There are however still rooms available from March 18-22 so please book those before they fill up.**

The ASN 2023 Meeting Secretariat (International Conference Services, Ltd.) is the official housing bureau and will offer assistance with the coordination of housing requirements for ASN 2023. Special room rates have been negotiated and will be available to Meeting attendees only. 

 
The success of the ASN 2023 depends on attendees, sponsors, and exhibitors using the official Meeting hotel by booking through the official housing bureau. ASN 2023 cannot meet contracted room obligations if registrants reserve rooms outside the official hotels or book hotels through channels other than the official housing bureau. Rooms that are not filled through the official housing bureau create an expense for the Meeting in the form of financial penalties (attrition fees) and place the financial success of the Meeting at risk.  

A limited number of guest rooms at Hyatt Regency Lexington will be offered to attendees at a discounted rate and will only be available through the online registration form or link provided on your Registration Confirmation. You must register for the Meeting before you can book your accommodation. Please do not contact the Hotel or make a reservation directly with the Hotel.

Booking Terms & Conditions

Booking Deadline: February 20, 2023. Subject to availability. Rooms may be sold out prior to this date. 
 
Payment Terms: A credit card is mandatory for every reservation and must have an expiration date on or after April 2023. The Hotel will charge the non-refundable, full stay to the credit card after the cut-off date. If the credit card is invalid, the reservation may be cancelled. 

Cancellation and Reduction in Room Nights Policy:  Cancellations and reductions in room nights must be made no later than February 20, 2023, in order to avoid a penalty, charge equal to the full stay. Cancellations and reductions in room nights after February 20, 2023, will result in all room nights being charged to the credit card on file. No refunds will be issued for no-shows. In the unlikely event that the Meeting is cancelled, travel and accommodation costs will not be refunded. 

For Group Booking Requests: Please email asn-registration@icsevents.com and the Group Order Request Form with Payment and Cancellation Policies will be emailed to you. 

WARNING: Please beware of housing piracy companies. They are contacting delegates/sponsors to book rooms through their channels and are claiming that they control the rooms for the Meeting. They do not. These companies charge non-refundable deposits from the moment you book their rooms; thus making it impossible for delegates to cancel their reservations. In some situations, rooms are not booked but payment has been taken.
